There is no single price for running an amateur football club. A five-a-side group hiring one pitch a week has a very different budget from an eleven-a-side team entering a league, paying officials and maintaining two kits. The useful question is not ‘what does a club cost?’ but ‘which costs apply to our season, and how should we share them?’

Start with venue hire, competition and affiliation fees, match officials, insurance, equipment and travel. Quote each cost for the full season rather than comparing a weekly pitch price with an annual insurance premium. Once every item uses the same period, the true total becomes visible.
Ask providers which extras are included. Floodlights, changing rooms, deposits, cancellation charges and card fees can turn an apparently cheaper booking into the more expensive option.

Turn the season total into fair player subs
Subtract confirmed sponsorship, grants and existing club funds before calculating member contributions. Divide the remainder by the number of paying members, then decide whether to collect annually, monthly or per appearance.
A hybrid system often works well: regular subs cover predictable club-wide costs, while players at a particular fixture share variable items such as the referee or minibus. Keep the rule written down so new players receive the same explanation.
Keep a contingency without hiding money
A modest contingency protects the team from replacement equipment, rearranged fixtures and price changes. Show it as its own budget line rather than quietly padding every estimate. If the money is not used, agree whether it rolls into next season or reduces the final payment.
