Add every expected season cost, include a visible contingency, then subtract sponsorship, grants and existing funds allocated to the season. The result is the amount members must collectively cover. Divide it by the expected number of paying players for an equal annual share.
Do not divide by the biggest possible squad. Use the number of players you realistically expect to pay, otherwise a few departures create a budget gap for everybody else.
Annual, monthly or pay-to-play?
Annual subs give the club certainty but create a larger upfront bill. Monthly subs spread the cost while keeping income predictable. Pay-to-play suits casual groups, although it transfers absence and cancellation risk to the organiser.
- Stable league squad: annual or monthly membership
- Rotating casual group: attendance-based match fees
- Mixed squad: base membership plus per-match variable costs
Publish the rule before collecting
Explain what happens when a player joins late, leaves early, misses fixtures or needs a payment plan. The fairest rule is one agreed before it affects a particular person.
