Start with one source of truth
Receipts in one chat, bank transfers in another and a spreadsheet on somebody’s laptop create three different versions of the truth. The first improvement is simple: choose one shared place where every club expense is recorded.
Record the description, amount, date, payer and the members involved as soon as the cost happens. That gives the whole club a consistent ledger and makes the eventual split easy to explain.
Separate regular club costs from event costs
Annual insurance and season-long equipment belong to the club. Pitch hire, match balls and transport often belong to a particular fixture. Keeping those categories separate helps members understand why they owe a share and lets organisers see the true cost of each event.
- Club-wide: registration, insurance, subscriptions and shared equipment
- Event-specific: venue hire, officials, travel and food
- Member-specific: replacement kit, individual entry fees or extras
Split by attendance, not by assumption
Not every member attends every fixture. Splitting every cost across the full roster can feel unfair and creates disputes. Link event expenses to the players who took part, then make any club-wide subsidy explicit.
For example, if eight players share a £48 pitch, each share is £6. If the club pays £16 from its central fund, record that decision and split the remaining £32 between the eight attendees.
Close the loop quickly
Balances become harder to trust when payments are made but never recorded. Encourage members to mark a settlement as soon as money changes hands, and review unresolved balances at a predictable time each week.
