Use the return distance for every vehicle. Estimate fuel from distance, vehicle efficiency and fuel price, then add parking, tolls and hire charges. If one driver makes a substantial pickup detour, agree whether that mileage belongs in the shared journey.
Choose who shares which cost
Players travelling independently should not automatically share minibus or car-pool costs. Divide each travel pool between the people using it. Drivers can either be included as passengers or exempted as a simple contribution for providing the vehicle—agree the rule first.
