THE PRACTICAL GUIDEExamples, agreements and mistakes to avoid
THE FORMULABudget = (fixed costs + guests × variable cost per guest) × (1 + contingency % ÷ 100)

How to use this calculator

Change the example numbers to your own. The results update as you type; copy the result to discuss with your group.

  • Enter all attending guests, including anyone whose share is being covered.
  • Add fixed group costs and the variable cost per guest.
  • Choose paying guests and contingency. Paying guests cover the full budget.

A worked example

Ten guests, £200 fixed costs and £30 each in variable costs makes £500. With 10% contingency and nine paying guests, eight pay £61.11 and one pays £61.12.

Assumptions to agree before you split

  • Paying guests must be between one and the number attending.
  • Non-paying guests still incur variable costs, funded by those paying.
  • Unused contingency should be returned or allocated by agreement after the event.

Can the guest of honour go free?

Yes. Count them among attending guests and reduce paying guests by one. Their spending is spread across the paying guests.

Are deposits additional costs?

A deposit paid toward a quoted total is part of that total. Do not add it again as a separate cost.
