How to use this calculator
Change the example numbers to your own. The results update as you type; copy the result to discuss with your group.
- Enter the number of travellers and the number of food-budget days.
- Use group totals for accommodation, transport and activities.
- Enter food per person per day and choose a contingency percentage.
A worked example
Four people, three days, £600 accommodation, £200 transport, £120 activities and £25 food per person per day totals £1,220. A 10% buffer gives £1,342, or £335.50 each.
Assumptions to agree before you split
- Everyone is assumed to travel for the same number of days and share group costs equally.
- Numbers are your estimates, not destination price data. Personal shopping and insurance need to be added separately.
- A contingency is a planning reserve, not money already spent.
Do I enter accommodation per person?
No. Enter the total for the entire group and the whole stay. Food is the one field entered per person per day.
What if someone stays fewer nights?
This estimator assumes the same stay. Agree a different accommodation allocation separately and use actual receipts for the final settlement.
