THE FORMULA((fixtures × variable cost) + fixed costs + contingency − outside income) ÷ members

What belongs in a sports club budget?

Use one consistent period—normally the full season. Add costs that happen for every fixture to the variable section and annual commitments to fixed costs. Outside income should include only sponsorship, grants or club funds that are confirmed and available.

A contingency is not hidden profit. It is a named allowance for price changes, replacement equipment and rearranged events. Agree what happens to any unused balance at the end of the season.

  • Venue hire and match officials
  • League, affiliation and tournament entry
  • Insurance, safeguarding and first aid
  • Kit, equipment and replacements
  • Travel, storage, software and administration

How should clubs collect the result?

An annual payment gives the club early certainty, while monthly subs spread the cost for members. Casual groups may prefer a smaller base membership plus event-by-event costs.

The calculator assumes every listed member pays an equal share. If junior, social or non-playing members have different rates, calculate each membership group separately and confirm the combined income still meets the member-funded total.
